Position : PA to the General Manager

Provide high-level of administrative support to the Management Office to ensure the efficient flow of daily administrative task. Work closely to the General Manager to support him on his day to day tasks to manage and prioritise his time.


  • Schedule appointments and maintain calendar for the General Manager
  • Arrange and coordinate General Manager’s business travel and accommodation requirements
  • Transcribe meeting minutes of major meetings as maybe required by the General Manager
  • Sort and furnish incoming mails and documents for the General Manager and attach appropriate file to facilitate necessary action, determine routing, signature required and maintain follow up
  • Receive and filter incoming calls for the General Manager and take messages as appropriate
  • Prepare communication outlined by General Manager in oral or written directions
  • Maintain filing or records management system and other office flow procedures
  • Coordinate with Division Heads and their Assistants on meeting deadlines as per General Manager’s directions
  • Act as administration consultant to staff on certain issues
  • Ensure that the properties SOP’s are being recorded correctly and uploaded
  • Support the Quality Manager in conducting our Quality Assessment Audits
  • Ensure that the Daily Walkthroughs are attended, recorded and actioned accordingly
  • Monitor Hotel Social Media i.e. Tripadvisor etc.
  • Ensure that all Mystery Shopper reports are managed, coordinating the contribution from each department
  • Ensure that Hotel MBOs KPIs and Departmental MBOs KPIs are updated and uploaded on time
  • Deputizes in the absence of the Hotel Quality Manager
  • Perform other administrative duties as required by the General Manager if needed

  • At least 1 year experience working in a similar role
  • Must be proficient in Microsoft Office and other IT applications
  • Certificate in Administration would be an advantage
  • Displays emotional maturity and sensitivity in dealing with others
  • Operates with integrity and objectivity at all times
  • Extremely organized and demonstrates good planning skills
  • Proactive to address and resolve issues
  • Ability to work in a fast paced work environment
